How to Write a Clean Professional Email Signature

A signature should answer “who is this and how do I reach them” in four lines. Anything more tends to be clutter.

What the generator builds

Enter your details in the Email Signature Generator. For example, name Alex Doe, title Designer, company Acme, a phone number, an email and a website give:

Alex Doe
Designer, Acme
+1 555 0100
alex@example.com
https://example.com

Only the fields you fill in are included.

Using it

  1. Fill in the fields you want to show. A name is required.
  2. Copy or download the block.
  3. Paste it into your mail client’s signature settings.

Keeping it professional

  • Four to six lines is enough. Skip quotes and slogans.
  • Include one way to reach you by phone and one web link.
  • Use plain text so it looks the same in every mail client.
  • Avoid large images and logos, which slow loading and are often blocked.

Things to consider

This tool creates a plain-text signature with no formatting or images, which suits most uses. If your employer requires a branded layout or a legal disclaimer, add those separately. Some countries require company registration details in business emails, so check the rules where you work.

Frequently asked questions

Should I include my personal mobile number?

Only if you are comfortable with everyone who gets an email from you having it. A business line is safer.
